Airtable integration without code: create, find and update records

The Airtable integration in nana800 creates, finds, updates and deletes records in your base without code, and can clean up duplicates. To connect it you need an Airtable access token, the base ID and the table name. Every operation costs $0.002, and your balance is topped up to $3.50 for free every month.

What you can do

  • Create a record for every website lead, order or bot message, with values placed into the columns of the same name
  • Find records where a column exactly matches a value, such as a customer email or phone, up to 1,000 at a time
  • Update a record by its ID or by a column value, and optionally fill only the empty columns
  • Update the found record or create a new one when there is none, so one customer does not appear twice
  • Delete a record by ID, or all records with a given column value, up to 1,000 per run
  • Remove duplicates: among records with the same value the newest one stays and the rest are deleted

Blocks in the builder

  • Airtable record operations

    Action · $0.002 per run

Eight operations to choose from: get_record, list_records, create_record, update_record, upsert_record, delete_record, delete_by_filter and remove_duplicates. Works with an Airtable personal access token.

How to set it up

  1. 1

Create an access token in Airtable

In Airtable, open Personal access tokens and press Create token. Add the data.records:read and data.records:write scopes and give the token access to your base. Copy the token, it starts with pat. nana800 uses it to read and change your records.

  2. 2

Find the base ID and the table

Open the base in your browser: the base ID is the part of the address that starts with app, for example appA1b2C3d4E5f6G7. The table can be given by its tab name, such as Customers, or by its ID that starts with tbl.

  3. 3

Add a trigger and the Airtable block

Create a scheme in the builder and add a trigger that brings the data, for example webhook for website leads. Then add the Airtable: basic operations block and paste the token, base ID and table into it.

  4. 4

Pick an operation and fill in the fields

For a new lead choose create_record and in the record fields put the exact Airtable column name on the left and a value or a trigger field on the right. To avoid duplicates, choose upsert_record and set the search column and value, such as Email.

  5. 5

Turn the scheme on and test it

Add the button trigger, turn the scheme on and press the button: a record appears in the table, and its ID comes back in created_id. If something is wrong, the reason is in error_message. When it works, keep the scheme on. While it is on, it costs $0.0042 per hour.

Frequently asked questions

Every run of the Airtable block costs $0.002, whatever operation it performs. An enabled scheme costs $0.0042 per hour. Your balance is topped up to $3.50 for free every month, no card needed. A scheme kept on around the clock for a month spends most of that on scheme hours.

data.records:read to read records and data.records:write to create, change and delete them. The token also needs access to the base itself. If access is missing or the base ID is wrong, the block returns an error that tells you to check the base ID, the table and the token access.

Use upsert_record: the block looks for a record where the column exactly matches the search value, such as the customer email. If it finds one, it updates the newest match; if not, it creates a new record. Duplicates that already exist are cleaned up by remove_duplicates, which keeps the newest record.

The block guards against that. For delete, update and upsert the search value cannot be empty, otherwise the block stops with an error and changes nothing. One run deletes at most 1,000 records, and deleted_count and deleted_ids show how many and which records were removed.

No, nana800 has no trigger for Airtable events: the block runs operations when another trigger has started the scheme. To check the table regularly, use the time internal trigger and read records with list_records.

No. The block is set up with fields in the browser: token, base ID, table, operation and column-value pairs. If you prefer, you can pass the record fields as a ready JSON object in the JSON fields box.
