Gmail to Telegram template: an alert for every new email

The Gmail to Telegram template in nana800 has two blocks: the first checks your Inbox once a minute, the second sends a message with the sender and subject through your own bot. You only fill in your Gmail address with an app password, a bot token and a chat ID, and no code is needed. Each email costs three basic block runs, and your balance is topped up to $3.50 for free every month.

Chain of blocks

  1. 1

Trigger · New Gmail email (trigger)

gmail incoming email checks the Gmail Inbox once a minute and starts the scheme for every new email. It returns the sender, subject, the start and full text of the email, the date and a list of attachments.

  2. 2

    Action · Send Telegram message

Telegram message send posts a "New email received" message with the sender and subject through your bot. You add the bot token and chat ID, and you can rewrite the message text.

What it is good for

  • See orders and requests that arrive in your shop mailbox right away in Telegram
  • Get only emails from key clients or suppliers in a private chat, using a Gmail search filter
  • Send emails from a shared mailbox to a team group so none of them gets lost
  • Keep an eye on payment, invoice and delivery emails from specific senders
  • Add a YandexGPT block that sums up a long email in two or three lines before it is sent

How to set it up

  1. 1

    Open the template

In the builder open Templates, find Gmail to Telegram and press Use. Pick a project, and a scheme with two connected blocks appears in it.

  2. 2

    Connect Gmail

In the gmail incoming email block enter your Gmail address and pick a sign-in method. APP_PASSWORD_IMAP is simpler: it needs an app password from your Google account (Security, then 2-Step Verification and App passwords). OAUTH_CLIENT fits if you have an app in Google Cloud Console: then you need its client ID, client secret and a refresh token.

  3. 3

    Pick the emails you need

The search query field is optional. Type a query the same way as in the Gmail search bar, for example from:shop@example.com or subject:(order), and only such emails will start the scheme. An empty field means every new email in the Inbox.

  4. 4

    Set up the Telegram message

In the Telegram message send block paste the bot token from @BotFather and the chat ID: @getmyid_bot shows yours, and group IDs start with -100. Press Start in your bot. Set the text format to plain_text, so an underscore in an email address does not break the message.

  5. 5

Turn the scheme on and test it

Turn the scheme on, wait a minute and send yourself an email. The first check only remembers the emails already in the mailbox, so old emails are not sent. The alert for the new email comes with the next check. An enabled scheme costs $0.0042 per hour.

Frequently asked questions

Every new email costs three basic block runs: the Gmail trigger counts as two and the Telegram message as one. 1,000 basic runs cost $1, and checks with no new email are free. An enabled scheme costs $0.0042 per hour. Your balance is topped up to $3.50 for free every month with no card, but a scheme kept on around the clock spends most of that on scheme hours.

No. For APP_PASSWORD_IMAP create a separate app password in your Google account, the option appears once 2-Step Verification is on. You can delete that password at any time, and access to the mailbox is closed. OAUTH_CLIENT needs no password at all, it signs in with a refresh token.

Yes, you can put the body_text field of the trigger into the message for the full text, or snippet for its beginning. Telegram rejects messages longer than 4096 characters, so snippet is safer for long emails.

Yes. Add the bot to the group and put the group ID, which starts with -100, into the chat ID field. There is also a field for a topic ID inside a group. To send the alert both to a private chat and a group, add a second Telegram message send block.

Check that the scheme is on and the email is in the Inbox: emails that Gmail filters move straight to the archive or another folder do not start the scheme. Emails older than three days and emails that arrived before the first check are skipped too. If the Telegram block failed, the error text is in the Run history of the scheme.
